Data entry

Data arrives faster than anyone enters it

Orders, leads, invoices and forms land every day. When nobody owns the typing, records fall behind, fields get skipped and the same customer ends up in three places.

A data entry virtual assistant makes it one person's job. They enter, check and tidy your records on a schedule you set, so the people who sell, ship and serve can rely on the data. Jobeelink finds and screens the person and handles the contract and payments.

When it makes sense

  • A backlog of forms, invoices or spreadsheets nobody has time to enter
  • A sales team whose CRM is out of date or full of duplicates
  • An online store with product data to enter and keep consistent across channels
  • An office with paper or PDF records to digitize or move to a new system

The work

What a data entry virtual assistant handles

Typing is the start. The value is in records that are complete, consistent and easy to find. If the task repeats and the rules are clear, an assistant can take it on.

Business and CRM records

  • Enter and update contacts, companies and deals in your CRM
  • Clean up duplicates and fill in missing fields
  • Log call notes and follow-up dates from your notes or recordings
  • Import and tidy lead lists from forms, events and web research

Documents into data

  • Enter invoices, receipts and purchase orders into your system
  • Key in details from forms, applications and scanned PDFs
  • Convert PDFs and images into spreadsheets, then check the result by hand
  • Move data between systems that do not connect

Ecommerce and catalogs

  • Enter products, variants, prices and descriptions
  • Update inventory counts and order records
  • Keep listings consistent across Shopify, Amazon, Etsy and other channels

Spreadsheets and reports

  • Build and maintain spreadsheets and simple databases
  • Standardize names, dates, addresses and other formats
  • Compare two lists and flag the differences
  • Prepare summaries and reports from the data

Industry records

  • Real estate listings and property records
  • Insurance and claims forms, as you direct
  • Practice, patient and client administration records, within the access you allow
  • Financial and legal file indexing

How it runs

Set the batch, the standard and the check

An example routine for a team with a steady flow of records. Illustrative, and set by you.

  1. 1

    Daily

New orders, forms or leads are entered from the source you agreed.

  2. 2

    Weekly

A sample of the week's records is reviewed and corrections are logged.

  3. 3

    When something does not fit

Unclear or incomplete items go onto a short list for you to answer, not a guess.

  4. 4

    Monthly

Duplicates are cleaned, formats are standardized and you get a short note on the errors found.

Agree one place where work arrives and one place where finished work lands.

Accuracy and access

Agree how correct is measured

General good practice, not a Jobeelink guarantee. Write these down in the first week.

  1. Define a correct record

List the required fields, the accepted formats and the source of truth, so correct means the same thing to everyone.

  2. Agree a check

Review a sample of each batch and have a second look at critical fields such as amounts, dates and contact details. Raise the sample size if errors appear.

  3. Log errors and exceptions

Track what went wrong and why, then fix the cause, such as a missing field or an unclear source document. Items that do not fit are answered the same day, not guessed.

  4. Protect access

Use named logins through a password manager, never shared passwords. Turn on multi-factor sign-in where the tool offers it, give the least access needed and remove it when the work ends.

What stays with you

Deciding what the assistant can open, approving changes to financial or customer records, and signing off the data standard stay with you. Keep a record of what was changed, ideally in the system's own history.

By a standard you and the assistant agree: required fields, accepted formats, a sample check on each batch and a second look at critical fields. Candidates are interviewed, skills-tested and reference-checked before you meet them, and you can ask the assistant to log errors so they are fixed at the source.

You decide what the assistant can open. Use named logins through a password manager, turn on multi-factor sign-in where it is offered, give the least access needed and remove it when the work ends. For regulated data, such as health or financial records, set the rules with your own advisor first.

Yes. A trial can be arranged, and we agree the length and terms with you before it starts. A free replacement is also available if a hire does not work out.

Plans start at $700 a month for part-time, about 20 hours a week, and $1,400 for full-time, which works out to roughly $8 an hour. If per-record or per-project pricing suits your work better, tell us in the consultation and we will discuss a price that works for both sides.

A company processes your files in its own system, usually priced per record or per project. An assistant is one dedicated person who works in your systems on your schedule and learns your records. A company suits very large or one-off batches. An assistant suits ongoing work where context matters.

AI tools can read documents and fill fields quickly, but the output still needs checking and exceptions need judgment. Many teams let automation handle the bulk and use an assistant to review, correct and deal with what does not fit.
